Coffee subscriptions: how to calculate the quantity you need

The amount of coffee you need depends on your routine. Before choosing a coffee subscription, count what you use in a typical week and check how much coffee you still have. The aim is to plan orders using your own figures.

Record a representative week

Note the drinks prepared each day, the format used and the servings per drink. Include visitors or days working from home if they are part of your routine. A holiday week or an unusual event may not reflect normal consumption.

Calculate the period between deliveries

For a four-week period, multiply weekly consumption by four. If you use 14 capsules a week, the estimate is 56 capsules. Four weeks is 28 days: it is not always the same as a calendar month.

If each pack contains 10 capsules, six boxes provide 60 capsules. This is simply an example of rounding to the box size, not a recommended quantity.

Subtract what you already have

Suppose you expect to use 56 capsules in the next period and will have 20 available when it begins. Your estimated additional requirement is 36 capsules, before any buffer you decide to keep. Check the stated delivery times and the packs' best-before dates before increasing that buffer.

Check the terms before subscribing

  • The products and formats included.
  • The quantity, price and applicable delivery charges.
  • The actual delivery frequency.
  • How to change an order and the deadlines for doing so.
  • Pause or cancellation conditions, where these are offered.

Do not assume that all subscriptions allow the same changes. Read the terms of your chosen option.

Review your estimate

After the first period, compare expected and actual consumption. If too much coffee remains, include it in the next calculation. If you ran short, identify the reason: more users, more drinks or more servings per drink.

Check the format before repeating orders

A subscription makes a purchase recurring: confirm the system before deciding capsule quantities. Read our capsule compatibility guide. For beans, relate delivery frequency to storage and cost per cup, rather than pack size alone.
